Policies

These policies explain how renting a car from Al Baseet Rent a Car works: who can rent, how a booking request is approved, what you pay and when, and what happens if you change your plans, return late or have an accident. They apply together with our Terms and conditions and the rental agreement you sign. If your rental agreement says something different, the agreement applies.

Amounts are in Saudi riyals and include VAT unless a page says otherwise. The figures that depend on the car (the deposit, the kilometre allowance, the price of an extra kilometre) are shown on the car's page and in your booking before you send your request.

1. Who can rent

  • Age. The renter must be between 21 and 70 years old (Gregorian calendar). If the renter is over 65, the insurance company's rules say that the renter either pays double the deductible in case of an accident, according to the deductible of the rented car's type, or takes a rental that includes the collision damage waiver (CDW).
  • Documents. A valid ID (national ID for Saudi citizens, residence permit (iqama) for residents, national ID for GCC citizens, or passport for visitors) and a valid driving licence. At pick-up the branch may also ask for a payment card in the renter's name.
  • Residents of Saudi Arabia need a valid Saudi driving licence. An international driving licence is not accepted from a resident.
  • Visitors and international customers are welcome if their documents are valid when they book and when they collect the car. Visit-visa holders and GCC citizens leave a security deposit (see section 7). A renter who holds an exit and re-entry visa needs an international driving authorisation to open the contract, for an extra fee.
  • Checks. We cannot hand over the car if the licence has expired, the renter's services are suspended, or the renter's data is not registered or updated in the Absher system. See section 6 for the fee.
  • Declined requests. We may decline a request when the name does not match the ID, when the customer is on our list of blocked customers (for example after unpaid amounts or a serious breach), or when the car is no longer available.

2. Booking requests and approval

  1. Sign in with your mobile number and choose the car, dates and branches. Send your request as early as you can: online requests must be made at least one hour before pick-up (two hours before a delivery), and our team has to check them first.
  2. Give your full name as it is on your ID, the ID type and number, and your email address.
  3. Your booking is now a request, not a confirmed rental. The car is held for you while our team checks that your name and ID match.
  4. We approve or decline the request. We tell you by email, by SMS, by a notification in the app if you installed it, and on your booking page, which updates by itself while you wait.
  5. If we decline, we tell you the reason and nothing is charged. You can call us or send a new request with the right details.

We may offer a similar car of the same category if the exact model you asked for is not available when you collect it.

3. Pick-up from a branch and the pickup code

  • When a pick-up request is approved, the booking is confirmed and nothing is paid online. You pay at the branch.
  • You receive a six-digit pickup code in your messages and on your booking page. Say it at the counter so that we find your booking at once. It belongs to you: please do not share it.
  • Please arrive at the branch 30 minutes before your pick-up time. If the pick-up time is 10:00, which is when our branches open, arrive on time. The message that approves your booking shows the exact arrival time.
  • Bring the same ID you gave us in your request and your driving licence. The car is handed only to the renter, or to a driver named in the contract.
  • At the counter we check your documents, inspect the car with you and note any damage that is already there, then you sign the contract and pay the rental and the deposit, by card or in cash.
  • The rental is counted from the date and time you booked, even if you arrive late. If you arrive early, it is counted from the actual hand-over time.

4. Delivery and collection

  • We deliver to addresses inside the delivery area of the branch you choose, to the point you place on the map, and we collect the car from there at the end. The delivery and collection fees, if any, are shown before you send your request.
  • Delivery bookings are paid online. After we approve your request you pay by card or mada through our payment provider, within 24 hours. We send the payment link by email, SMS and app notification, and it is also on your booking page.
  • If the payment is not made within 24 hours, the booking is cancelled automatically, the car is released and we tell you. Nothing is charged for a booking that lapses this way.
  • The renter must be at the address with the ID and driving licence. Our driver checks them, inspects the car with you and notes any existing damage before handing it over.
  • To change the address or the time, contact us in advance. Fees may apply.

5. Prices and payments

  • Every fee is shown before you send your request. Prices include VAT. The price covers the rental for your period, the basic insurance cover and the kilometre allowance. Extras (child seats, an extra driver, extra cover, returning at another branch) are priced separately and added to the total before you send.
  • You can enter a promo code in the booking form.
  • Delivery bookings are paid online by card (mada, Visa and Mastercard). At a branch you can pay by card or in cash.
  • If a payment fails, try again or use another card. If it is not completed in the 24-hour window, the booking is cancelled.
  • You receive a receipt for every payment and a tax invoice when the rental ends. If you find a mistake on an electronic invoice, tell us within 30 days of the date it was issued.

6. Changes, cancellation and no-show

  • Up to six hours before pick-up: you can change or cancel free of charge, from your booking page in the website or app, or by contacting us.
  • Six hours or less before pick-up: if you cancel, 25% of the rental amount is deducted.
  • No-show, or cancelling after the pick-up time: the first day's rent is charged and is not refundable.
  • You do not bring your ID documents and driving licence: 25% of the first day's rent is deducted.
  • We cannot release the car to you because your licence has expired, your services are suspended, your data is not registered or updated in the Absher system, or you hold an exit and re-entry visa that was not dealt with: one day's rent is deducted.
  • A request that we decline, or a delivery booking that lapses because it was not paid in 24 hours, costs you nothing.
  • For a delivery booking that you paid online, a fee is taken from your payment and the rest is refunded (section 8).
  • To change the branch or the car after booking, cancel and book again. To change the date or time, send the change from your booking and wait for our confirmation. To extend a rental, use the website or app, or contact us; an extension depends on the car being free.
  • If you return the car early, whether any money is returned depends on your rental agreement. Please contact us.

7. Deposits and holds

  • A refundable security deposit is taken when you collect the car. Its amount depends on the car and is shown on the car's page and in your booking. GCC citizens and holders of a visit visa must always leave a deposit, and for other renters the branch may ask for a deposit on a payment card, as company policy requires.
  • The deposit is held on your card when the card allows it. If it does not, the amount is taken and then refunded, or the deposit is paid in cash.
  • After the car is returned and checked, we deduct only what is due under the contract (for example traffic fines, damage, missing fuel, extra kilometres, a late return or cleaning) and tell you what was deducted and why.
  • The deposit is refunded 21 working days after you return the car, once we confirm that there are no traffic violations on it.

8. Refunds

Money is returned to the card or the method you paid with. A refund reaches you in 7 to 21 working days, depending on your bank. We issue a refund receipt for every refund, and the original receipt and invoice are never changed. The refund of a deposit follows section 7.

9. Kilometres, fuel and returning the car

  • Kilometres. The standard allowance is 250 km per day. Each car's page shows its own allowance for a day and for a month and the price of each extra kilometre, and some cars come with unlimited kilometres.
  • Fuel. Your car is handed over with the fuel level recorded. Return it with a full tank. If it comes back with less, we charge the missing fuel.
  • Returning on time. Return the car at the time and place in your contract. You have a grace period of 2 hours after the return time. After that, a late-return charge applies as shown in your contract.
  • Another branch. You can return the car at a different branch. Returning in another city may cost an additional fee, which is shown when you book.
  • Cleanliness. Please return the car reasonably clean. Smoking is not allowed in our cars, and a cleaning fee applies if the rule is broken.
  • At the return we inspect the car with you and note any new damage.

10. Using the car

  • Only the drivers named in the contract may drive. Extra drivers must be added before the contract is opened, and fees may apply. Nobody else can collect or return the car for you.
  • Services such as an extra driver or a child seat must be chosen before the contract is opened; they cannot be added after the rental starts. Extras are available for a fee, when you book or at the counter.
  • Drive inside Saudi Arabia only. Driving to other GCC countries needs our approval in advance and a clean record, and fees may apply.
  • Do not use the car for commercial purposes (taxi, ride-hailing, deliveries), do not sublet it, and do not use it for racing, drifting, off-road driving or towing, or to break the law. The insurance does not cover these uses.
  • The vehicle registration and insurance papers are kept in the car. If they are missing, contact us. If you lose the car's keys, contact us; a replacement fee may apply.

11. Traffic fines

The renter is responsible for all traffic fines and violations during the rental, including those that are recorded after the car is returned. If a fine reaches us after the rental, we may deduct it from the deposit or charge the method of payment you used, and we will tell you.

12. Insurance, damage and accidents

  • Basic insurance cover is included in the rental. Optional cover is offered when you book, and each option states what it covers and its deductible. The insurance does not cover breaking the traffic rules, drifting or racing, a driver who is not named in the contract, or criminal cases.
  • Damage. Report any damage to us at once. Who pays depends on your cover and on the cause. Whether a flat tyre is covered depends on the insurance option you chose.
  • Accident. Make sure everyone is safe, call Najm or the traffic police to prepare a report, and then contact us. Without an official report the insurer may refuse the claim and you may have to pay the full cost.
  • Breakdown. If the car breaks down, contact us and we will help you.
